By submitting a commission with us, you agree to the terms outlined below.
1. Commission process All commissions begin with an initial inquiry. We review every request and reserve the right to accept or decline a commission at our discretion, including turning down subject matter we don’t draw or simply don’t feel is the right fit for us. Once accepted, we’ll confirm a start date based on our current queue.
2. Payment Your PayPal invoice will be sent on your confirmed start date, once your commission details are complete. Full payment is required before work begins. No work will commence until payment is confirmed. Clients based in Spain are subject to 21% VAT, which will be added to the invoice; international clients are not charged VAT. If you need a different payment arrangement, just reach out before submitting your commission and we’ll do our best to accommodate you.
3. Revisions Your commission includes two rounds of revisions at sketch stage and two at lineart/colour stage. Additional revisions beyond this can be arranged for an extra fee, agreed in advance. Revisions are no longer available once final files have been delivered.
4. Cancellations & refunds If you cancel before we’ve begun work, you’ll receive a full refund. If you cancel after the sketch has been approved, you’ll receive a 50% refund. If you cancel after the lineart has been approved, the commission is non-refundable, as the bulk of the work has already been completed. If we need to cancel a commission for any reason, you’ll always receive a full refund.
5. Deadlines Estimated completion times are provided as a guide and are not guaranteed. We make every effort to meet agreed timelines, and we’ll let you know as soon as possible if anything changes.
6. Intellectual property & usage rights All artwork we create remains our intellectual property. You’ll receive a promotional licence, covering social media, your author website, and press or book promotion, unless commercial rights have been purchased. Commercial rights cover things like merchandise, print-on-demand, packaging, and products for sale. Resale, redistribution, or transfer of rights to third parties isn’t permitted without our prior written agreement. Credit is always appreciated, though not required, for promotional use.
7. Work-in-progress approvals We’ll share work-in-progress with you at sketch and lineart stages for your approval before moving forward. Please review each stage carefully before approving. Significant changes to the brief after a stage has already been approved may incur an additional charge.
8. File delivery For standard commissions, you’ll receive PNG files, including your character cut out with a transparent background. For book covers, you’ll receive both PNG and PSD files. Everything is delivered via Google Drive, and we keep your files on record for at least one month from the date of delivery. After that, we’re no longer responsible for storage, so please make sure to save your files.
9. Confidentiality & portfolio use We love sharing our work, so unless you tell us otherwise, we reserve the right to feature your commission in our portfolio, on social media, and in promotional materials. If you’d prefer to keep your commission under wraps until your book or project is announced, just let us know in writing before we start, along with the date from which we’re free to share it. Confidential work will not be posted before that agreed date.
10. Rush commissions If you need your commission completed faster than our standard turnaround, a rush fee of +50% applies. Let us know when you reach out so we can confirm whether a rush slot is available.
11. Reference material & third-party content If you provide reference material, character designs, or other content for us to work from, you confirm that you have the right to use and share it with us. We’re not responsible for any claims arising from copyrighted or trademarked material included in the references you provide, and by submitting them you agree to hold us harmless from any such claims.
12. Chargebacks Initiating a chargeback or payment dispute while a commission is in progress, or after files have been delivered, will result in the cancellation of the commission and forfeiture of all files.
13. Client information for invoicing As a business operating under Spanish tax law, we’re legally required to issue a valid electronic invoice (TicketBAI) for every commission. To do this, we need your full legal name, billing address, and a government-issued ID number, such as a passport or driver’s licence. This information is used solely for invoicing purposes, kept only for as long as required by Spanish tax regulations, and is never shared with third parties beyond what the law requires.
14. Governing law These terms are governed by Basque law, and any disputes will be handled under the jurisdiction of the Basque Country, Spain.
15. Limitation of liability Our liability for any claim related to a commission is limited to the amount paid for that commission. We’re not responsible for indirect losses, such as delays to your own publishing schedule or third-party plans built around delivery dates.
